January '08 Minutes

Minutes of the Southport High School Fiftieth Class Reunion Meeting, Feb. 7, 2009 
Attendees: Nancy Sowden Burton, Betty Miller Hoffmeyer, Linda Condon Helburn, Luthilda Snyder Osborn, Linda (Susie) Yandell Boyd, Janet Riehle Motz, Susan Fischer Cheeley, Linda Wade Keeling, Gretchen Hardy Bower, Judy Johnson Monroe, Mike (Mickey) Owen, Pete Hildebrand, Ray Kappmeyer, Sandra Fulford Sharo, Dwayne VanMeter, Jerry Baker, Gary Tomey, Edith Schnier Beck, and Jayne Tegeler Admire.
      Nancy Burton opened the meeting.  She gave us news of Jack Miller, Valerie’s husband, he is returning home today so Valerie is with him.
      We need to be thinking of the final timetable for the events and the costs to be ready to send the formal invitations the first part of May.  Also be thinking of the deadlines for the return of the forms for the “Memory Book” and the monies for registratation.
      We have $1084.00 in the treasury.
       Decoration committee reported they are collecting items for use on the tables and posters for the banquet, some of the themes are-cruising/racing, fashions, pictures of past events.  Nancy and others will be taking pictures at events.  These pictures she can download to her computer for use on the DVD to me made of the reunion.
       Dwayne Van Meter reported Southport High School and Cafeteria would be available on Friday night from 4:30p.m. to 7:30p.m. for our use.  Joanne Hendricks Steinmeier will provide hors’d`oeuvres for the event. Judy J. Monroe volunteered the “59ers” will be hostesses for the evening.  It was suggested that if desired people could meet at “Bobby Joe’s” after the game/open house.
      The group discussed if we should schedule any events for Saturday during the day. The decision was not to plan anything. This would be time for casual get togethers. Jayne Admire has a list of “On Your Own” activities for use of anyone.
      Nancy stated that there was a need for Hospitality table for the banquet “check in”.  Betty Miller Hoffmeyer and Susan Fischer Cheeley volunteered to staff the table.  The decoration committee will also be in the area.  Gathering (cocktail) time will be 6:00p.m., the banquet at 7:00p.m., and music until 11:00p.m
      The Memory Book will be the keepsake for the evening. We will try to have the paper to copy this donated.  We may need to have a “Binding Party” when it is printed.  A form to be returned with registration will be sent with the invitation.
      We have found 230 of our classmates, only 48 are missing, and 47 have passed.
      Jayne Admire had talked with the Hyatt downtown and if we would guarantee 20 rooms the price would be$119.00 plus tax = $127.50 per night. The Comfort Suites at I-65 and Southport Road would be $89.00 plus tax = $104.50 per night.  Conclusion was to save a block of room at the Comfort Suites until possibly July for people to make their own reservations.  If people need rides to downtown let someone know and arrangements can be made.
      For the banquet, if there are any special needs they should be listed on the reservation form.
      Sunday morning will be “Memories and Miracles” held at the Timber’s Edge Clubhouse.  This will be from 9:00a.m. to 11:00a.m.  Room rental will be $75.00 and the donuts and coffee will cost about $70.00.
      An option to send a donation for the expenses of the reunion will be included on the registration
form.
      Our next meeting will be on Saturday the 28th of March at 12:30p.m. at Jonathan Byrd’s.
